How to write a quotation that gets accepted

Quotation versus invoice

A quotation is an invitation to agree: scope, price, and how long the offer lasts. An invoice is a request to pay after agreement or supply. Do not mix them in one document. When the client accepts, use the invoice generator via Duplicate as invoice.

Why a quotation needs an expiry date

Costs, materials, and FX move. A validity date (14 days by default) protects your margin and forces a clear decision. If it expires, issue a new number instead of silently editing the price.

Percent discount or a fixed amount

A percent fits a bundle of lines (for example 10% off design plus photography). A fixed amount fits a round number. In both cases the discount comes off net before VAT, then VAT is calculated on what remains. Use the VAT calculator if you want the rate in isolation.

What makes a quote get accepted

Accepted quotes are usually clearer than cheaper: written scope, a few options instead of an endless menu, consistent logo and color, and a deadline that creates a decision. Spell out what the price includes and excludes. For a WhatsApp or landing-page code, use the QR code generator.
